This policy explains what Visionia processes when you visit this website, connect a Clover merchant or use Emma AI Operator.

The short version

Necessary data in. No data sales out.

We use authorised Clover and workspace data to provide Emma, secure the service and support the merchant. We do not sell personal information or use merchant data for advertising.

Selected infrastructure and AI providers process data under contract to provide Emma. They do not receive permission to market to merchants.

How data is handled

Why does Visionia process this data?

To provide the requested service and subscription; authenticate and connect Clover; answer questions; analyse business records; prepare and verify approved actions; maintain conversations and settings; provide support; secure the service; prevent abuse; meet legal obligations; and improve reliability.

What are the legal bases in Europe?

Performance of the Emma service contract; Visionia’s legitimate interests in security, support and service improvement; compliance with legal obligations; and consent where the law requires it. A merchant remains responsible for having a lawful basis to connect and process its customer and employee data.

How long is data retained?

Workspace and connected merchant data is kept while the subscription or account is active and as needed to provide the service. After a verified deletion or account-closure request, active service data is deleted or anonymised within 30 days unless law, fraud prevention or a dispute requires longer retention. Encrypted backups may remain for up to 90 days before rotation. Security and billing records may be retained for the applicable legal period.

Where is European data hosted?

Emma’s production database for European operations is hosted in Frankfurt, Germany. Some contracted providers may process data in other countries. Where required, Visionia uses recognised transfer safeguards such as adequacy decisions or Standard Contractual Clauses.

Is merchant data used to train public AI models?

Visionia uses business-grade model services to generate Emma responses. Merchant content is sent only as needed for the requested feature and is not authorised by Visionia for public advertising or sale. Provider handling remains subject to the applicable business service terms and configured data controls.
